POSITION SUMMARY
This part-time (0.5 FTE) staff position is at the CIIS Center for Psychedelic Therapies and Research (CPTR).
The Center is in an expansion and growth phase from housing a certificate training program for medical and mental health professionals with classrooms in two locations and online to: licensing curricular materials, the creation of a mental health clinic, and a research study implementation. The Center Office Specialist is a staff person who implements administrative aspects of the activities of CPTR, with a focus on hands-on database maintenance. The Center Office Specialist reports to the Center Manager to execute the administrative needs of the Center and special projects throughout the year.
As liaison between the program and other CIIS departments, the Center Office Specialist works closely with other offices on campus, coordinating and managing critical department functions such as room scheduling, AV needs, and meetings for the program.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains departmental files and student records; maintains the CPTR database.
- Maintains and updates student roster and other certificate documents.
- Provides clerical support for the Center, including composing correspondence, typing, copying, filing, check requests, and maintaining office supplies.
- Under the guidance of the Center Manager, collaborates with student workers, weekend assistants, and temporary workers in the CPTR office.
- Must be willing to work some nights and weekends.
- Liaises with Boston staff and provides coordination support.
- Speaks with and writes to current students; responds to inquiries.
- Overall, administratively oversees and maintains program's smooth functioning: maintains website content, updates program handbook, takes notes at meetings, posts agendas and handouts to Canvas (online platform) course, maintains email lists, participates in program assessment process, processes check requests, answers phones, maintains files and databases.
- Assists in coordination of new clinic, the research study, and classroom logistics.
- Organizes program events and special projects. Performs additional duties as requested.
